What we collect, why we collect it, who helps us process it, and what you can do about it — in plain language.

The short version
Mindy is Zincan's AI chief-of-staff for content sites — a Slack assistant and WordPress-native helper. To do that, Mindy reads your site's content and (if you connect it) your Slack workspace, and uses third-party AI providers to retrieve and answer questions about it. We don't sell your data, we don't train models on it, and your content stays isolated to your tenant.
What we collect
To run the service, we collect and process:
- Operator account info — your name, email, and the organization you belong to.
- WordPress site content — posts, pages, comments, media metadata, taxonomy terms, authors, and recipes, synced from your connected site into a vector store so Mindy can retrieve and reason over it.
- Slack workspace data (only when you connect Slack) — the messages the Mindy bot can see, plus user and channel identifiers it needs to respond in context.
- Usage & diagnostic data — logs, error reports, and basic interaction data that help us keep Mindy reliable and improve it.
How we use it
- To provide the core service: retrieving your content and generating answers across Slack, on-site chat, and the WordPress plugin.
- To keep your knowledge base current by syncing changes from your site.
- To operate, secure, debug, and improve the product.
- To communicate with you about your account, support requests, and service updates.
We do not sell your data, and we do notuse your content to train AI models — yours or anyone else's.
AI processing & subprocessors
Mindy is built on third-party infrastructure. To answer questions about your content, we share the data needed to do so with the following subprocessors. We pick vendors with strong security and data handling commitments:
- Anthropic (Claude)— the large language model that generates Mindy's responses.
- Voyage AI — generates the embeddings used to search your content.
- Qdrant — the vector store that holds those embeddings for retrieval.
- Slack — when you connect a workspace, so Mindy can read and respond to messages.
- Composio — optional; only used for third-party tool actions you explicitly authorize.
- Stripe — payment processing (we never store full card numbers ourselves).
- DigitalOcean / Spaces — cloud hosting and file/object storage.
These providers process data on our behalf to deliver the service, not for their own purposes. We'll keep this list current as our infrastructure evolves.
Data retention & deletion
We keep your data for as long as your account is active and you need the service. When you disconnect a site or close your account, we delete or de-identify the associated content and embeddings from our systems and our subprocessors within a reasonable period, except where we're required to retain something (e.g. billing records). You can ask us to delete your data at any time — see your rights below.
Security
Your content is tenant-isolated end to end, so one customer's data is never exposed to another. We use encryption in transit, scoped access controls, and audited infrastructure. No system is perfectly secure, but we treat your content as confidential and design Mindy to keep it that way.
Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. We honor these requests for everyone, regardless of region. To exercise any of them, just get in touch.
Children
Mindy is a business tool and isn't directed at children. We don't knowingly collect personal information from anyone under 13 (or under 16 where local law sets a higher bar). If you believe a child has provided us data, contact us and we'll remove it.
Changes to this policy
As Mindy grows, we'll update this page and bump the “last updated” date above. For material changes we'll do our best to give account holders a heads-up.
